Privacy notice

This explains, in plain English, what I do with the personal information you share with me when you get in touch or book a trip.

Who I am

Travel by Tarryn is run by me, Tarryn Bates, as an independent travel agent. I’m responsible for (the “controller” of) the personal information described here. If you have any questions about it, email me at [email protected].

What information I collect

When you send me an enquiry, by the form on this website (which sends an email from your own email app) or by emailing me directly, I receive:

  • your name, email address and, if you give it, your phone number;
  • details about the trip you’re interested in, such as who’s travelling, dates, destinations, budget and preferences;
  • anything else you choose to tell me.

If you go on to book, I’ll also need the details required to make the booking, such as the full names, dates of birth and passport details of everyone travelling, and your contact and payment arrangements.

Sometimes you may tell me about health, mobility, dietary or similar needs so that I can arrange suitable travel. I’ll only use this information with your permission and only for arranging your trip.

If you give me details about other people travelling with you, please make sure they’re happy for you to share them.

How I use it, and why I’m allowed to

  • To reply to your enquiry and put together ideas for you. This is a step you’ve asked me to take before any booking (UK GDPR: taking steps at your request before entering into a contract).
  • To make and look after your booking. This is necessary to arrange the travel you’ve asked for (performance of a contract).
  • To keep business and financial records that the law requires me to keep (legal obligation).
  • To deal with questions or complaints, and to keep my records and this website secure (my legitimate interests in running my business properly).
  • Health or similar needs you tell me about are used only with your explicit consent, which you can withdraw at any time.

I won’t add you to a mailing list or send you marketing unless you’ve asked me to, and I never sell your information.

Who I share it with

I only share your information when it’s needed to arrange your travel or run my business:

  • travel suppliers such as airlines, hotels, cruise lines, tour operators, transfer companies and insurers, and the travel company I work with to make bookings, so that your trip can be booked and provided;
  • the companies that provide my email and this website’s hosting and security, which handle information on my behalf;
  • anyone I’m required by law to share it with.

If your trip involves travel outside the UK, some suppliers will be based abroad. Your details are shared with them because that’s necessary to provide the travel you’ve booked.

How long I keep it

  • Enquiries that don’t lead to a booking: kept for up to 12 months, in case you come back to me, then deleted.
  • Bookings: kept for up to 6 years after your trip ends, because I need to keep business and tax records and may need them if there’s a question or claim about the booking.

This website and cookies

This website doesn’t use analytics or advertising tools, and doesn’t set its own cookies on its public pages. The fonts and photos are served from this website, not from third parties. Like any website, the hosting and security provider processes technical information such as IP addresses to deliver the pages and protect the site from abuse, and may use strictly necessary security cookies to do so.

Your rights

You have the right to:

  • ask for a copy of the information I hold about you;
  • ask me to correct information that’s wrong or incomplete;
  • ask me to delete your information, or to limit how I use it;
  • object to me using your information based on my legitimate interests;
  • ask for information you’ve given me to be passed to you or someone else in a common digital format;
  • withdraw your consent at any time, where I rely on it.

Some of these rights have limits. For example, I may need to keep booking records for legal reasons. To use any of them, email [email protected]. There’s no charge, and I’ll reply within one month.

Keeping it safe

I take sensible steps to protect your information, such as using secure, password-protected accounts and only sharing what’s needed.

Questions and complaints

If you’re unhappy with how I’ve handled your information, please email me first at [email protected]. I’ll acknowledge your complaint within 30 days and let you know what I’m doing about it.

If you’re still not happy, you can complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.

Changes to this notice

If I change how I use your information, I’ll update this page and the date at the top.
